Open Records Requests

To obtain a copy of a fire incident report or another open record, you must submit an open records request. Open records requests for Brazos County ESD 1 must be submitted only once and only in writing.

Before You Submit

  • Identify the correct agency: Confirm that Brazos County ESD 1 is the agency that actually holds the records you need.
  • Check the website first: Search the ESD1 website to see if the information is already public.
  • Be prepared to pay up to $40.00. There may be a fee to process your request and cover the cost of staff time, copying, and materials. If the cost is more than $40.00, we will notify you before we begin any work and provide options to reduce the cost.

Writing the Requests

  • Be specific and complete: Be as precise and detailed as possible. Reference specific document titles or topics to help us locate files fast.
  • Set a realistic date range: Limit your request to a reasonable timeframe, e.g., a specific month or fiscal year, to reduce the cost for staff time, labor, and overhead.
  • Manage email requests: Include  specific email threads or conversations. Sorting through mass emails can drastically slow down our response time and increase the cost of your request.
  • Put it in writing: Complete your request in writing. Be sure to include your preferred contact information.

How to Submit Requests

  • Complete your written request and submit it by one of these approved methods:
  • Email it to info@brazoscountyesd1.org. Be sure to include the type of information you’re requesting in the subject line of the email.
  • Deliver it in person or send it by U.S. mail to 6055 Koppe Bridge, College Station, TX 77845.
  • By submitting your request, you agree to pay all fees up to $40.00 without prior notification.

Other important information

  • Do not send any payments with your request. If the cost is $40.00 or less for staff time, copying , and materials, we will notify you first and then fulfill the request as soon as practical once we have received payment. If the cost is more than $40. 00, we will notify you first, provide an itemized estimate and options to reduce your cost, and stop work unless we receive written permission within 10 days to proceed.
  • Please allow at least 10 business days for a response. You may call the department at (979) 703-1202 with any questions about your open records request.
  • Manage your open records request.
  • Confirm receipt: Keep a digital paper trail or request a read receipt to prove the agency received your submission on a specific date.
  • Clarify fees upfront: Ask us to notify you in writing before processing costs exceed $40.00. You must request notification in writing if you want notification for a lower dollar amount.
  • Follow up politely: Reach out to the records management officer if response windows pass without an update.
